WorkHoist vs Knowify: an honest comparison
If you’re a contractor weighing Knowify against WorkHoist, this page is written by the team behind WorkHoist — read it with that in mind. Every claim about Knowify comes from Knowify’s own pricing page, linked at the bottom. There’s a section on where Knowify is the better choice, and for a smaller team built around QuickBooks, it often will be.

The short answer
Choose Knowify if your accounting is the centre of your business. Knowify is built around QuickBooks — QuickBooks Online, Time, Payroll and Payments are all first-tier integrations — and the job management is arranged around that spine.
Choose WorkHoist if your operations are the centre of your business, and you want RFIs, submittals, punch items and an equipment register as standard records rather than something you unlock at the top tier.
That is the real choice here, and it is a better question than price. One product starts from the books and works outward; the other starts from the work.
Where the two products actually differ
Knowify and WorkHoist both run jobs, budgets and billing. What separates them is which system is the spine, and what you have to buy to get the commercial toolkit.
QuickBooks is the spine
Knowify’s accounting integration is not a connector bolted on the side — QuickBooks Online, QuickBooks Time, QuickBooks Payroll and QuickBooks Payments are all first-tier integrations, and Knowify’s own site carries a top-level QuickBooks nav item. WorkHoist has no accounting integration; the connection is set up during onboarding instead. If your bookkeeper drives the business, that single difference decides this comparison, and it decides it in Knowify’s favour.
The commercial toolkit is quote-gated
RFIs, submittals and equipment management are Enterprise-only at Knowify, and Enterprise is quote-only. A commercial subcontractor who needs RFIs and submittals cannot buy them from the pricing page at all; they need a sales call first. In WorkHoist those are standard: RFIs, submittals and punch items are first-class records with their own fields and status, in the $399 plan. Equipment is a standalone register on the Growth plan at $999.
Published pricing stops at 10 users
Knowify publishes two prices — Core at $99 a month for one user, Advanced at $329 a month for ten. Above ten users the tier is Enterprise and the price is a quote. WorkHoist publishes both of its bands: $399 a month up to 20 users and $999 up to 75. Below ten people you can compare these two products on published numbers. Above ten, you can only compare one of them.
AI
Knowify’s Advanced tier includes an AI Connector. WorkHoist exposes the whole system over MCP on every plan, so an AI assistant can read your jobs and write to them in plain language: log an expense, create a lead, pull AR aging. WorkHoist also includes its own AI agent on every plan. These are two different shapes of the same idea — one built into the product, one opening the product to whatever assistant you already use — and which suits you depends on how you work rather than on which list is longer.
The honest summary: Knowify organises the work around the books. WorkHoist organises the books around the work. If you are a small shop whose accountant is the most important person in the building, that is an argument for Knowify, not against it.
How each one prices
Knowify
Knowify publishes prices for its first two tiers, which is more than most of this market does. Both are capped by user count:
The tiers are not just user counts. Knowify’s Core plan has no job costing, no daily logs, no client portal, no project budgets, no subcontracts, no cost-plus or time-and-materials contracts, no AI Connector and no Zapier; it carries basic reporting and permissions. Advanced adds job costing, WIP reporting, daily logs, work orders, a client portal, project budgets, subcontracts, cost-plus and T&M contracts, custom workflows, branded documents and the AI Connector.
Enterprise is the only tier with RFIs and submittals, equipment management, custom forms, document markup, QuickBooks Desktop and Intuit Enterprise Suite. It is quote-only, so those features do not have a published price.
Some things sit on top of the plan. Service Pro is $99 a month, live equipment tracking is $25 per vehicle per month, and inventory and prevailing wage are priced separately.
One thing Knowify does that is genuinely unusual, and worth saying plainly: AIA G702 and G703 billing is on every tier, including the $99 plan. Most of this market treats progress billing as a reason to move you up a tier.

What implementation costs
Knowify does not publish implementation pricing on its pricing page, and Enterprise is quote-only, so the cost of getting started above ten users is part of that same conversation.

Where Knowify is the better choice
We’d rather tell you this than have you find out three months in.
QuickBooks depth.
Four Intuit integrations — QuickBooks Online, Time, Payroll and Payments — against WorkHoist’s none. If accounting is the centre of your business, this is the whole argument, and nothing further down this page outweighs it.
AIA billing on every tier.
Knowify puts G702 and G703 billing on its $99 plan. WorkHoist renders G702/G703 too, so this is not something we lack — but Knowify doesn’t make you climb tiers to reach it, and plenty of this market does.
Trade specialisation.
Electrical, HVAC, plumbing, painting, concrete, excavation. Knowify builds and markets for specific trades. WorkHoist is built for contractors generally, which is an advantage only if your trade isn’t on that list.
Service work.
Knowify’s Service Pro add-on covers dispatch, maintenance agreements and a service portal, for $99 a month. WorkHoist has no service-department product at all. If you run a service desk alongside project work, WorkHoist does not cover half your business.
Prevailing wage.
Knowify offers prevailing wage as a paid add-on. WorkHoist has nothing for prevailing wage. On public work that is not a nice-to-have, and its absence should rule WorkHoist out.

Where WorkHoist fits
What we don’t do yet.
WorkHoist is a smaller team and a younger product. WorkHoist has no built-in accounting integration. WorkHoist has no service work product — no dispatch, no maintenance agreements, no service portal. WorkHoist has nothing for prevailing wage. WorkHoist doesn’t do takeoff. WorkHoist has no inventory tracking. WorkHoist’s integration list is shorter than Knowify’s. If any one of those is load-bearing for your business, WorkHoist is not the right answer today.

- What Knowify plan do I need for RFIs and submittals?
- Enterprise. Knowify’s comparison table lists RFIs and submittals as Enterprise-only, alongside equipment management, custom forms and document markup. Enterprise is quote-only, so there is no published price for them. In WorkHoist, RFIs and submittals are first-class records included in the $399 plan.
- Does Knowify work with QuickBooks Desktop?
- On the Enterprise tier. Knowify’s comparison table lists QuickBooks Desktop and Intuit Enterprise Suite as Enterprise-only; the published Core and Advanced tiers integrate with QuickBooks Online. WorkHoist has no built-in accounting integration on any plan.
- How much does Knowify cost for more than 10 users?
- Knowify does not publish a price above 10 users. Core is $99 a month for one user and Advanced is $329 a month for ten; beyond that the tier is Enterprise and the price is a quote. WorkHoist publishes $399 a month up to 20 users and $999 a month up to 75.

- Can you move our data across from Knowify?
- Yes. WorkHoist migrates up to 25 open jobs with their subcontractors, POs and contacts, from spreadsheets or any system we can export from — including Knowify, provided you can export your data from it.
- What happens to my data if I leave Knowify?
- Knowify publishes no public help documentation — support is by phone, email and screen share, and their old documentation paths now redirect to their pricing page — so their Terms of Service is the only document that answers this. Section 10 states: “You own the User Content submitted to the Services.” Section 22 states that Knowify “may terminate these Terms of Service for convenience with no notice to you”, and that on termination “you shall immediately cease and desist from all use of this Site and the Services.” Section 22 contains no data-return clause, no export window and no retention period.
